HVCC TERMS OF SERVICE

We’re honored to have you as part of our service family. Please take a moment to review the terms and conditions that apply when booking with us. Your understanding and cooperation help us provide you with the highest level of service.

💳 Payment Authorization, Deposit, and Card-on-File Policy

To secure your appointment, you are required to add a valid debit or credit card to your client hub profile prior to service. Appointments will not be confirmed without a card on file.

We also require a deposit to reserve your booking, which will be applied toward your final invoice total. This deposit is non-refundable if the cancellation policy terms are violated.

By booking a service with Happy Valley Cleaning & Contracting, you authorize us to charge your card on file for any unpaid service balance if payment is not submitted within 24 hours of your completed appointment.
This includes your express consent for us to charge your card without additional verbal or written authorization, in accordance with our agreed-upon service terms and to enforce our payment policy.

Failure to maintain a valid payment method may result in appointment cancellation, declined future bookings, or the account being sent to collections for unpaid balances.

Digital Agreement: Your electronic acceptance of the appointment and provision of card details constitutes your legal agreement to all policies outlined herein.

⚠️Chargeback Policy

Any chargebacks initiated without first notifying us of a service concern or attempting to resolve the issue in good faith will be considered a breach of agreement. We reserve the right to pursue legal remedies and charge administrative and legal fees associated with dispute resolution.

🆕Policy Revisions 

These terms are subject to change at any time without prior notice. The most current version will always be available via our website or upon request.

📸 Quality Assurance Photos

By booking a service, you consent to us taking before-and-after photos for internal quality control purposes only. We will never post or share any images of your property publicly without your express permission.

❌ Cancellation Policy

We understand that plans can change. However, to respect our team’s time:

Cancellations made with less than 24 hours’ notice will incur a fee of 50% of your quoted service cost.

Cancellations made on the day of service or upon arrival will be charged 75% of the scheduled service fee based on the reserved time.

If a cleaner is already en route or arrives at your location, you will be billed hourly for their drive time in addition to applicable cancellation fees.

🔁 Recurring Cleaning Policy

If more than 30 days have passed since your last cleaning, your home may require another deep clean—even if another service was used in the meantime. This additional service is not always as extensive or costly as the initial deep clean but will be more than a routine upkeep clean.

🚗 Travel Fees

For locations more than 30 miles from our home base, a travel charge of $0.65 per mile (round-trip) will be added to your invoice.

🧾 Invoices & Payment Terms

No cash or checks accepted. Invoices are sent via text or email following each appointment.

We ask that you pay promptly upon receipt.

A $100 minimum is required to book any service.

If payment is not received within 15 days, a 20% late fee based on the original invoice total will be applied weekly until payment is made.

Invoices unpaid after 45 days will result in accrued late fees and may be escalated to collections or legal action.

💬 Service Issues & Satisfaction Guarantee

We do not offer refunds. However, if any concerns arise, please contact us within 24 hours of your service so we can promptly address the issue and ensure your satisfaction.

🧼 Additional Cleaning Needs

Please inform us in advance if extra or specific cleaning tasks are needed outside the scope of your routine service. This allows us to properly prepare and allocate time.

🐜 Bug Infestations

Our employees are not required to work in homes with visible or active infestations. For these types of appointments, we request volunteers, and they are provided with specialized supplies & PPE. If such conditions are identified (e.g., bed bugs), the appointment will be stopped immediately if we were not notified prior to the appointment. You may reschedule after proper assessment of the infestation has been taken.

🧽 Floor Care & Steam Mop Policy

We exclusively use a steam mop at all cleaning appointments to ensure thorough sanitation and environmental safety. By booking with us, you acknowledge that Happy Valley Cleaning & Contracting is not liable for any damage that may occur from the use of a steam mop.

If you prefer a different type of mop be used, you must request this with a staff member in advance of your appointment. We are happy to accommodate when possible with the right notice.

🧾 Sales Tax

A 6% sales tax is added to every invoice unless a valid tax exemption number is provided.

🧍 Conduct & Respect

We expect courteous and professional interactions.

Rude behavior, name-calling, or negotiating pricing with our team members on-site will not be tolerated.

You’re welcome to be present during the cleaning and communicate specific preferences, but please avoid hovering or making staff uncomfortable during their work.

💵 Tipping

While tipping is not required, it is always appreciated by our team members.

If you’d like to tip, you may do so directly at the time of service or include it with your payment.

Your generosity goes a long way in showing appreciation for our staff’s hard work and commitment.

🕒Estimated/Quoted Costs & Start Times

We do not guarantee an exact appointment price unless requested to cap the cost beforehand.

An extensive quote is required for an exact estimate, and we charge a “Quote Fee” dependant upon the size of area to be quoted.

Arrival times are estimates: If our team is 15–30 minutes late, this is within an acceptable timeframe due to unforeseen circumstances such as traffic or additional client requests/needs.
